POSITION SUMMARY
To manage the administration of the Japan offices (including OCAP and any JVs or acquisitions) effectively, efficiently and ensuring compliance with Visa Policy/procedure administration.
To provide a high level of confidence to Country Manager that all key controls and compliance requirements are understood, effectively communicated to key stakeholders, and that appropriate plans and controls are put in place to ensure clean audit findings.
Change management to ensure teams are able to react expeditiously to changes or clarifications of Visa Policy/Procedure.
To act as a consultant to Country Manager and staff on how to interpret policies/processes in increasingly complex situations.
To act as the subject matter expert for all key controls and compliance for all business activities.
To act as the key partner for Compliance, Audit, Security, BCM, Finance, Procurement, IT & Facilities.
To provide coaching and team management of office managers/administrators/reception.
To act as a member of Japan office management team.

JOB SCOPE

Key Controls, Compliance and Audit:

Visa Anti Bribery/FCPA Controls : Complete understanding of policy and procedures. Develop and implement change programs, provide training, and assistance to local staff. Validate SOE status of client/non-client and share the updates to local staff on monthly basis. GTE log register to AP compliance on quarterly basis.
Procurement Controls: Provide training and assistance to local staff on all business activities.
T&E policy Controls : Provide training and assistance to local staff on all business activities.
BCM : Local Incident Response Team Manager
Physical security management
Corporate Card and PCard Policy controller and administration management
Assist with Corporate event management as appropriate.
Gift register management for both client and local staff.
Execute quarterly review of the general audit scope covering FCPA, T&E expenses, Sourcing, and general office administration, and share the review results to the Sr Business Development Leader.
Asset management.
Charitable contributions management.
Contract repository management.

Office Management and administration.
Facilities – CRE (corporate real estate) dept liaison & building management liaison for all premises matters.
Corporate registration management
Documentation and optimization of operating processes.
Administration management of floor plans, work station allocations, contact lists and notifications.
General office equipment management.
Capital asset management
Computer and wireless device management.
IP Phone, network administration management.
Desktop support /vendor coordinator.
Local supplier sourcing and negotiation.
Travel and T&E support including Travel Agent Management, Travel Report and Insurance
Responsible for the statutory activities and its record to submit to the Fire and Disaster Management Agency required by the Fire Service Act.

Qualifications

Professional
7 years of experience in a Senior Business Administration/Office management role
Experience in a leadership role as part of a management team.

Fluent in Japanese and English for both spoken and written

Technical
Strong background in Business Administration and Compliance
Ability to rectify technical issues relating to all onsite equipment, including phones, hardware, software, audio visual equipment, copier and fax machines
Computer literate with advanced skills in Powerpoint, Excel
